Indian Embassy issues guidelines  to protect applicants from extra charges

Muscat: The Embassy of India, Muscat has reiterated that a fixed service fee of OMR 6 per application is applicable for all Indian Consular, Passport and Visa services in Oman, and no additional charges are permissible.

In an advisory issued to applicants, the Embassy clarified that SGIVS Global Services (SGIVS) is the sole authorised service provider for Indian Consular, Passport and Visa services in the Sultanate. No other agency or entity is permitted to accept applications on behalf of the Embassy.

SGIVS, which operates 11 application centres across Oman, is contractually obligated to accept every application submitted at any of its centres and must not turn applicants away.

Applicants with prior appointments are to be given priority at their scheduled time, while walk-in applicants must be accommodated when there are no pending appointment-based applications.

The Embassy emphasised that passport applicants are not required to bring photographs, as SGIVS is obligated to capture photographs at its centres without charging any additional fee beyond the standard OMR 6 per application.

It also stated that any gaps in an application — such as incomplete forms or missing document copies — must be addressed by SGIVS staff without imposing extra charges.

Application-filling assistance is included in the all-inclusive OMR 6 service fee, and applicants must not be directed to the website if they require help completing their forms.

If SGIVS is uncertain about any service or case, it must obtain written clarification from the Embassy and share the response with the applicant. Applicants should not be routinely redirected to the Embassy without proper written justification.

The return of processed documents, including passports and certificates, by courier is SGIVS’s contractual responsibility and must be provided without additional charge. Applicants wishing to collect documents in person must submit a signed written request at the time of application; otherwise, courier dispatch will remain the default mode.

The Embassy further stressed that SGIVS shall collect only OMR 6 per application as its service fee. No additional SGIVS fees — whether through third-party entities, premium lounge services or any other format — are allowed.

All payments must be made through official channels and against a proper receipt. These include prescribed Consular, Passport or Visa fees, Indian Community Welfare Fund (ICWF) charges, and the OMR 6 SGIVS service fee. No cash payment should be made without issuance of a system-generated receipt.
