New classification system to archive records in Oman adopted

Muscat: Public Establishment for Industrial Estates (PEIE) approved on Monday its adoption of 'Private Document Management System', schedules of documents’ extended retention and classification system.
The approval comes under the National Records and Archives Law promulgated by Royal Decree 60/2007. Article 18 of the law states that a department is responsible for its documents till they are not needed, and that each party shall coordinate with the National Records and Archives Authority to prepare and implement a system for its records.
The event took place in the presence of Dr. Hamad bin Mohammed Al Dhoyani, Chairman of the National Records and Archives Authority (NRAA) who hailed the efforts of the officials at PEIE for their constant follow up that resulted in building the system. He stressed that NRAA will follow up with PEIE on the application process of this system in the coming period.
"At the current stage, NRAA is working on preparing 'Private Document Management System' for the companies which the government contributes to with 25 per cent or more. We are proud of the achievements made through the efforts of officials from various government bodies. This support has contributed to the completion of the system in several bodies.”
“However, the delay in applying the system in other bodies is attributed to reasonable factors including updates in administrative structures. We hope that we will be able to complete the application of the system in all government bodies by the end of next year," AlDhoyani pointed out.
On his part, Hilal bin Hamad Al Hasani, CEO of PEIE said, "NRAA has performed great efforts in coordination with the officials at PEIE to complete this project. Prior to the approval of the system, PEIE has undertaken all legal and regulatory frameworks related to the system. The system shall use advanced techniques that ease the access to the documents promptly and ensure their preservation."
Advantages
"The Private Document Management System at PEIE has been approved after an internal committee was formed in cooperation with NRAA. The committee has undertaken constant efforts to ensure the system contributes in preserving the documents and classifying them according to the degree of importance and privacy. This shall facilitate the retrieval of these documents whenever needed," said Hamed Al Mukhaini, Director of Documents’ Department at PEIE.
He added, "The community will benefit from the system especially the researchers in the field of industrial and commercial enterprises. Being national documents, they are related to the industrial estates and volume of investments in the Sultanate. Moreover, the procedural tools for the document management system comprise preparation of schedules of documents’ extended retention and classification system. These procedural tools are essential to build a modern system in line with latest specifications and international standards adopted in this field."
